What does the HIPAA risk assessment include?

An inventory of every system that touches protected health information, the threats to each, the safeguards in place, and the gaps with a plan to close them. It is written down, dated, and updated every year, and it sits alongside the compliance integration for HIPAA work on the security side.

Can something answer the phone after the front desk closes?

An AI receptionist for medical offices picks up after the front desk closes, or around the clock if you want that, and takes the caller's name, callback number and the reason for the call. Every call is sorted, recorded and transcribed onto the patient's record, the practice is alerted when one needs attention, and a call report arrives on weekday mornings. It answers in English and does not transfer a caller to anyone in the office; for anything patient-specific, it takes the details and the practice calls back.

Can you track new patients and their follow-ups in one place?

The front desk gets one pipeline for new patients and follow-ups from a CRM for medical and dental practices. A new patient's call or a website form starts the record, and reminder messages go out on the schedule the front desk sets. We build the pipeline and the fields around how the practice already works, then run the administration and train the staff on it.

How is email encrypted?

Microsoft 365 with encryption rules for messages that contain patient information, multi-factor sign-in for every account, and retention settings that match your policy. The encryption rules run on their own, so staff have no extra step to remember.

What about laptops and phones that leave the office?

Full-disk encryption on every laptop, mobile device management on phones, and remote wipe. If a device goes missing we wipe it, and because its data is encrypted the loss is usually not a reportable breach. HHS guidance counts encrypted records as secured.

Do you work with our practice management vendor?

Yes. We handle the server, the workstations, and the network the software runs on, and we open the vendor ticket when the application itself misbehaves, so you do not sit between two support desks.

Will you sign a business associate agreement?

Yes. Any vendor with access to patient information should sign one.
