Law offices

We keep client files private and backed up.

We automate data entry and follow-ups, and set up document management, secure sharing with clients and courts, tested backups that help you protect client confidences, and a phone system attorneys can use away from the office.

  • Automation for data entry and follow-ups
  • Encrypted email and e-signature
  • Tested backups of every matter
  • Remote access from court or home

What we see in law offices.

Law firms hold sensitive client files on everyday equipment.

Common problems

Case files end up spread across a shared drive, personal email, and a paralegal's laptop. Email can be faked to look like it came from the firm, and a client's hacked account can be used to send the firm fake messages. The server sits in a closet, and nobody has checked its backup drive.

What we do about it

We move the files into one document system with permissions per matter, encrypt email and turn on multi-factor sign-in, run daily tested backups, manage the laptops, and set up a phone system that follows you to court.

The cost of unmanaged IT

A leaked client file can turn into a bar complaint and a malpractice claim, and a lost one can mean a missed deadline.

How it works

How we start with a law office.

  1. 01

    Assessment

We review where client files are stored, who has access to them, how email is protected, and whether the backups restore, and document the findings.

  2. 02

    Lock it down

Encryption, multi-factor sign-in, permissions per matter, tested backups, and managed laptops come first. Then we set up the phone system and remote access.

  3. 03

    Managed, month after month

Monitoring, patching, and backups run quietly. Your staff has one number to call. We review the setup with you every quarter.

Technical details.

How do you keep one matter's files away from another?

Permissions per folder or per matter in Microsoft 365 or your document system, reviewed when staff join or leave. Access is logged.

What about email spoofing and wire fraud?

Domain authentication (SPF, DKIM, DMARC) so receiving mail systems can reject mail that pretends to be your firm, phishing filtering, multi-factor sign-in on every mailbox, and staff training with test phishing emails. Google's sender guidelines describe that authentication as protection against spoofing and phishing. It is all part of the cybersecurity and compliance for law firms we run.

Can something answer the phone after hours?

Yes. An AI receptionist for law firms answers at any hour, or only after the office closes, takes the caller's name and callback number, and writes down why they called. The firm gets an alert on the calls that need one, and a report of every call lands in the inbox on weekday mornings. The agent works in English only, and it never hands a caller to a person: it takes the intake details and the firm calls back.

Can you track new inquiries and open matters in one place?

Yes. A CRM for law firms keeps new inquiries and open matters in one list, with follow-up messages that go out on a schedule and stop the moment a client replies. An intake call or a website form opens the record without anyone retyping it, and we handle the setup, the day-to-day administration and the training.

Can staff work from court or from home?

Yes, through managed laptops with encryption and a secure connection back to the office, plus a phone system that rings on a cell phone without giving out the personal number.

How are backups handled?

Daily backups of the file system and Microsoft 365, kept in more than one place, tested by restoring files. Retention is set to your policy and any legal hold you are under.

Will you help with a cyber insurance questionnaire?

Yes. Most of the questions are about controls we put in place, and we fill in the technical answers with you.

Questions

Questions about IT for law offices.

Do you work with our case management software?

We handle the computers, network, backups, and security around it and coordinate with the vendor when the application itself misbehaves.

How fast do you respond?

If the whole office is down, we respond within 30 minutes during business hours. If one team or a key system is down, within 2 hours. If one person cannot work, or you have a request, we respond the same business day. Questions and projects receive a response the next business day.

What size of firm do you work with?

Law firms with attorneys and support staff who share case files, email, and phones, in one office or across several.

Do we need a long contract?

No. Managed IT is a monthly agreement.
